The Quote Nobody Answered

Dana sends a $14,000 patio quote and hears nothing. No "no." No "yes." Just a very expensive silence. Dana is made up. The problem is not. Andrew and June build a simple follow-up routine: every quote gets a send date, a short check-in two days later, one more at five days, then you let it go. AI does the boring part: who is due today, and a message in your own voice. You send it yourself.

Our verdict

Skip buying a new tool. Build the routine with a spreadsheet and one prompt. If your CRM already sends follow-ups, use that instead.

How we tested it

We tested the prompt first, on made-up data: a made-up landscaper named Dana, five made-up quotes, signed-out ChatGPT, one run per version. The first version contradicted itself on one date and opened messages with customers' last names. The fixed version got all five decisions right: two first follow-ups to send, one overdue second follow-up, one to wait on, and one customer who had already replied, so no message. This is one tool, one run, fake customers. We did not measure whether it wins jobs or saves time, and we do not claim it does.

Optional: GreatArrow

GreatArrow is the service Andrew is building. This is a plug. For this routine the honest status is partly: GreatArrow's public pages describe the pieces (reading Google Sheets and Gmail, remembering how you write, recurring checks, approval before anything goes out), but we have not tested this exact routine end to end, so we are not claiming it runs it today. https://greatarrow.ai
